Terms & Conditions

By confirming a booking with The Arc Specialty Coffee Co, the client agrees to the following terms in full. These terms apply to all mobile coffee catering services provided by The Arc Specialty Coffee Co.

Service Overview

We will deliver a fully staffed mobile coffee catering service for the agreed event at a fixed price based on the confirmed scope and estimated guest count. The fee does not vary based on actual attendance.

Service capacity is planned to the agreed estimate. We are not required to extend service beyond planned capacity if actual numbers exceed this. If guest numbers or requirements change by more than 20%, we reserve the right to adjust scope and pricing, communicated in writing prior to the event where possible.

Service Duration & Location

Service will take place at the address confirmed in the booking, commencing and concluding at the times confirmed in writing at the time of booking.

We will arrive early for setup and remain for pack down. Changes in timing, guest arrival, or turnout do not affect service duration or pricing.

Service Inclusions

Unless otherwise stated in the quote, the following are included:

  • Professional barista for the booked duration
  • Espresso coffee, hot chocolate, tea, and cold brew
  • Milk options as agreed in the quote
  • Cups, lids, and standard consumables
  • Full mobile cart setup and pack down
  • Travel and equipment transport (unless otherwise stated)
  • Any add-ons confirmed in the invoice

Client Responsibilities

The client must ensure:

  • Safe, clear, and level access to the service area
  • A standard 10-amp single-phase power outlet within ten metres of the setup area, unless otherwise agreed in writing
  • A nominated on-site contact available for the duration of the service

Payment Terms

Completing and submitting the booking agreement constitutes a confirmed booking and the date is held from that point.

The full invoiced amount is due 7 days prior to the event. For bookings made within 7 days of the event, full payment is due immediately. Failure to pay by the due date may result in cancellation, and cancellation fees as set out in Clause 6 will still apply.

Cancellation Policy

All cancellations must be submitted in writing via email. Verbal cancellations will not be accepted.

  • Cancellations more than 7 days before the event — 50% of the total invoiced amount is payable
  • Cancellations within 7 days of the event — 100% of the total invoiced amount is payable

Weather-related cancellations are subject to the same policy. We are not responsible for outdoor event conditions.

Rescheduling

The client may reschedule without penalty if written notice is given at least 14 days before the event. Only one reschedule is permitted per booking. Rescheduling is subject to availability and must be confirmed in writing by us within 3 business days.

Reschedule requests made within 14 days of the event will be treated as a cancellation and the standard cancellation policy applies.

Changes to Booking

Any changes to guest numbers, timing, location, or service requirements must be confirmed in writing and may result in pricing adjustments.

Workplace Safety & Right to Withdraw

We prioritise the safety and wellbeing of all staff. If a staff member reasonably feels unsafe, threatened, or harassed, we reserve the right to pause, modify, or cease service. The client remains liable for the full service fee in such circumstances.

Service Management

We may subcontract qualified barista staff where required and remain responsible for service quality throughout. We reserve the right to manage service flow and adjust procedures as needed.

In the event of ingredient unavailability or equipment malfunction, we will make all reasonable efforts to continue service. No refund applies for interruptions where reasonable efforts to resolve the issue have been made.

Photography & Marketing

We may photograph or film the setup and service for marketing purposes. No guests will be intentionally identified without consent. If photography is not permitted, the client must notify us in writing prior to the event.

Liability & Insurance

We hold current public liability insurance with $5,000,000 coverage. A certificate of currency is available on request. We are not liable for indirect or consequential losses outside of direct service delivery.
